Overview

The stakeholder map for the VetSync workflow system was created to reflect the structure of a realistic corporate veterinary clinic and to identify the key stakeholder groups who may influence or be impacted by the implementation of the proposed workflow system.

The Practice Manager and Lead Veterinarian are considered key decision-makers because they oversee clinic operations and would play a major role in approving and supporting the adoption of a new workflow system. Their involvement is important to make sure the system supports both medical priorities and the day-to-day needs of the clinic.

Veterinary Technicians and Veterinary Assistants represent the primary operational users of the proposed system. These roles are directly responsible for coordinating patient care tasks, completing treatments, and communicating with other members of the clinical team. Since they interact with workflow processes throughout the day, they are likely to support improvements that help increase efficiency and reduce task confusion.

Stakeholders such as the Corporate Operations Manager and the Corporate IT or Software Implementation Team also have a strong influence on whether the system can realistically be introduced. The Operations Manager would be involved in approving workflow changes and budget considerations, while the IT team would focus on technical setup, system integration, and ongoing support. Although these stakeholders are not daily users, their approval and involvement are necessary for successful implementation.

Receptionists and Kennel Technicians are indirectly involved in clinical workflow coordination and would benefit from better communication and improved task visibility between clinical staff members. These groups should be kept informed during development so that workflow changes remain practical and supportive of overall clinic operations.

Finally, external stakeholders such as Clients (Pet Owners), regulatory boards, and pharmaceutical or supply vendors have a lower level of direct operational involvement but are still affected by clinic efficiency, compliance requirements, and service quality. These stakeholders are monitored to help ensure that the system supports positive client experiences and continues to meet professional standards.
